This guide walks pharmacy owners and managers through creating a PharmaTools account at pharmatools.ca/signup. The process takes about 5 minutes and requires basic pharmacy information.

Overview

Signing up for PharmaTools is a three-step process, followed by account validation from the PharmaTools team.

Account Manager Details

Enter your personal information as the account manager.

Pharmacy Information

Enter your pharmacy’s details. This sets up the master login account.

Create a shared pharmacy password and your personal passkey.

Step-by-Step

Step 1 — Account Manager Details

Enter your personal information:
  • Full Name — your name as the account manager
  • Personal Email Address — used during signup only, to assign your personal passkey. This is not used for login.

Step 2 — Pharmacy Information

Enter your pharmacy’s details:
  • Pharmacy Name
  • Phone Number
  • Pharmacy Email Address — this becomes the master account email used to log in to PharmaTools. Use a pharmacy-level email address (e.g. info@yourpharmacy.com) rather than a personal one.
Use a shared pharmacy inbox for the master email address — not a personal one. This ensures your team retains access if staff changes occur.

Step 3 — Security Setup

This step sets up two separate credentials that serve different purposes.

Pharmacy Password

The shared password all staff use to log in to PharmaTools alongside the pharmacy email address. Everyone at the pharmacy uses the same login credentials.

Personal User Passkey

AUnique to each staff member. While everyone shares the same login, the passkey identifies who is performing an action — used for activity logging and accountability.
Each staff member should have their own unique passkey. Do not share passkeys between employees — the passkey is how PharmaTools tracks which staff member performed which action.
Once all fields are complete, click Complete Setup.

After Sign Up — Account Validation

After completing setup, your account will be reviewed and validated by the PharmaTools team before it is activated.
During this period, you can log in and browse the platform, but core features will not yet be accessible.
While you wait, you will be able to select which modules you would like to request activation for. This helps the PharmaTools team configure your account appropriately when they activate it. Once validated, the PharmaTools team will activate your requested modules and notify you that your account is ready to use.

Signed Up by a Central Fill Pharmacy?

If a central fill pharmacy registered your pharmacy as a sender on their end, you may receive an invitation to join PharmaTools rather than signing up independently. In that case, some of your pharmacy details may already be pre-filled. The same three-step setup process applies — you will still need to complete your account manager details, confirm your pharmacy information, and set up your security credentials.
